Business Operations Administrator

Job Summary

We are seeking a highly organised and detail-oriented Business Operations Administrator to support the day-to-day operations of the business. The successful candidate will be responsible for administration, invoicing, fleet coordination, and tender submissions. This role requires a proactive individual who can manage multiple responsibilities, meet deadlines, and ensure smooth operational processes.

Key Responsibilities

1. Administration

  • Manage general office administration and filing systems 
  • Maintain accurate company records and documentation 
  • Coordinate internal communication and support management 
  • Handle correspondence with clients, suppliers, and stakeholders

2. Invoicing & Financial Administration

  • Prepare and issue invoices to clients accurately and on time 
  • Track payments and follow up on outstanding invoices 
  • Assist with basic bookkeeping and financial record-keeping 
  • Liaise with accountants and auditors when required

3. Fleet Management

  • Monitor and manage company vehicles, including licensing and servicing schedules
  • Track vehicle usage, fuel consumption, and maintenance records 
  • Coordinate repairs and ensure compliance with safety standards 
  • Maintain fleet documentation and reports

4. Tender & Compliance Administration

  • Identify and monitor relevant tender opportunities 
  • Prepare and submit tender documents in line with requirements and deadlines 
  • Ensure all compliance documentation is up to date (e.g., tax clearance, company registrations, certificates) 
  • Maintain a database of submitted tenders and outcomes

Minimum Requirements

  • Diploma or Degree in Business Administration, Logistics, Finance, or a related field Minimum 2–5 years’ experience in a similar role 
  • Experience with invoicing and financial administration 
  • Proficiency in Microsoft Office (especially Excel) 
  • Experience with accounting software (e.g., Sage, Pastel, QuickBooks)

Remuneration

Market-related, based on experience and qualifications
