Business Operations Administrator
Job Summary
We are seeking a highly organised and detail-oriented Business Operations Administrator to support the day-to-day operations of the business. The successful candidate will be responsible for administration, invoicing, fleet coordination, and tender submissions. This role requires a proactive individual who can manage multiple responsibilities, meet deadlines, and ensure smooth operational processes.
Key Responsibilities
1. Administration
- Manage general office administration and filing systems
- Maintain accurate company records and documentation
- Coordinate internal communication and support management
- Handle correspondence with clients, suppliers, and stakeholders
2. Invoicing & Financial Administration
- Prepare and issue invoices to clients accurately and on time
- Track payments and follow up on outstanding invoices
- Assist with basic bookkeeping and financial record-keeping
- Liaise with accountants and auditors when required
3. Fleet Management
- Monitor and manage company vehicles, including licensing and servicing schedules
- Track vehicle usage, fuel consumption, and maintenance records
- Coordinate repairs and ensure compliance with safety standards
- Maintain fleet documentation and reports
4. Tender & Compliance Administration
- Identify and monitor relevant tender opportunities
- Prepare and submit tender documents in line with requirements and deadlines
- Ensure all compliance documentation is up to date (e.g., tax clearance, company registrations, certificates)
- Maintain a database of submitted tenders and outcomes
Minimum Requirements
- Diploma or Degree in Business Administration, Logistics, Finance, or a related field Minimum 2–5 years’ experience in a similar role
- Experience with invoicing and financial administration
- Proficiency in Microsoft Office (especially Excel)
- Experience with accounting software (e.g., Sage, Pastel, QuickBooks)
Remuneration
Market-related, based on experience and qualifications
